Church management software, by what it really costs

Seven church management systems compared on what their own pricing pages said on 6 October 2026: what is free, what is flat-rate, and which only quote in a demo.

How we chose. We read each tool’s own pricing page on 6 October 2026 and kept a screenshot of it, which is on this page beside the tool. Prices are in US dollars unless the vendor showed a regional price, in which case we say so. Where a vendor only gives prices in a sales call, we say that rather than guess. We did not test these tools hands-on; what each does well and where it falls short comes from the vendor’s own pages, and what its users say is quoted word for word, with a link.

We make Slice. It appears only in the sermon clips guide, marked “ours”. No tool paid to be listed, and nothing here was tested hands-on.

Planning Center

Best for a church that wants to start free and pay only for the parts it outgrows: each product is priced on its own.

What it does well

  • The member database, calendar and member app (Church Center) are always free.
  • Every paid product has a free level: Services for 5 team members, Giving for 10 donations a month, Check-ins for 10 a day.
  • No contracts, and you pay only for the products you switch on.
  • Giving fees in the US are 2.15% + $0.30 for cards and $0.30 for a bank transfer.

Where it falls short

  • A growing church pays per product: Services alone runs $15 to $239 a month by team size.
  • The total depends on several sliders; the page adds them up for you.

Best for a small church that wants one flat price for people, volunteers, events and giving.

What it does well

  • One flat rate, no setup fee, no contract, unlimited admin users.
  • Includes free online giving, volunteer scheduling, check-in tags, events and email.
  • Text messaging: 250 free a month, then $10 per 500.

Where it falls short

  • Worship planning tools are a $29-a-month add-on.
  • The product is being folded into Tithely under a new name.

What it does well

  • Charged only for active adults: no charge for children, or for community contacts who never attend.
  • Worship planning, volunteer scheduling and the song database are included, not add-ons.
  • The page lists servers in Australia, Europe and the US.

Where it falls short

  • A US$149 setup cost on every plan.

Best for a church that wants giving free today and everything else (people, app, website, check-in) in one plan later.

What it does well

  • Online, text and app giving with no monthly fee.
  • All-Access bundles giving, people, messaging, forms, check-in, volunteers, a website, an app and worship tools.
  • All-Access starts with 30 days free, and the page says data moves and onboarding are included.

Where it falls short

  • The free giving plan charges "standard processing fees", and the pricing page does not say what they are.
  • All-Access is $119 a month: a big step from free.

Rock RMS

Best for a large or multi-site church with technical staff that wants software it controls, without licence fees.

What it does well

  • Run by a nonprofit; its pricing page says "No Contract. No License Fees. No Hidden Costs."
  • Host it yourself, or pick a hosting partner (Cloud 9 or RockCloud) that rolls the donation and hosting into one monthly payment.
  • Has a grants programme for churches that cannot afford it.

Where it falls short

  • Self-hosting needs someone who can run a server.
  • The cloud price depends on the partner; you have to ask them.

What it does well

  • Subsplash Giving costs nothing a month: 2.99% + 30¢ for standard cards and 1% for bank transfers (ACH).
  • Subsplash One bundles websites, custom mobile and TV apps, live streaming, giving, people, check-in and service planning.
  • One customers get lower giving rates: 2.3% + 30¢ for cards, falling as giving grows.

Where it falls short

  • No price for Subsplash One on the page: it goes by church size and usage.

  • Giving plans for multi-site churches: per-campus giving, branding and multiple bank accounts on Complete.
  • Includes a church app with giving; a custom app on the higher plans.
  • Church management (ChMS) and ChurchStaq are sold alongside.

Where it falls short

  • No prices on the page; you book a demo to find out.

Questions

What is free in church management?

Planning Center’s People, Calendar and member app are always free, and each of its paid products has a free level. Rock RMS is free software if you host it yourself.

Why do some not show a price?

Subsplash One and Pushpay price by church size in a sales call. That is common for larger churches; it makes comparing harder, so we say so rather than guess.
