One board per film, a group per scene
Collect everything first, then group it. Put scene 12’s stills, its light and its location together, align them, and label the group. When the DP asks what scene 12 looks like, the answer is one area of one board.
Say why a reference is there
A still on its own can mean anything. Pin a note beside it, draw an arrow to the part that matters, and write the reason: the colour of the practicals, the lens, the distance from the actor. The lookbook explains itself when you are not in the room.
